Website Privacy Notice

How we handle information collected through our website and enquiries.

Effective date:

1. About this notice

Option One Technologies, LLC (we, us or our) explains here how we handle personal information collected through our website, enquiries and website account-access features.

This notice does not replace the agreements governing our handling of client data when delivering managed technology services.

2. Information we collect

When you contact us or request an engagement discussion, we collect the information you provide. This may include your name, business email, company, telephone number, firm type, service interests, estimated user and office counts, and message.

If you use account-access features, we may process information needed to authenticate you and manage your access.

Our website records usage events, such as page views, service-link clicks and enquiry-form interactions. These custom events are designed not to include the contact details or message submitted in an enquiry. Services supporting the website may also process technical information, such as connection, device and activity information, as part of their operation.

Please do not include passwords, investor information or confidential incident details in website enquiries.

3. How we use information

We use personal information to respond to enquiries, discuss requested services, prepare proposed service scopes and engagement options, provide and administer website access, operate and secure the website, understand how visitors use our content and enquiry process, and meet applicable legal obligations and maintain necessary business records.

4. When we share information

Information may be processed by service providers supporting website hosting, enquiry storage, authentication, communications and analytics, and by the people responsible for responding to your enquiry.

We may also disclose information where required by law or where reasonably necessary to protect legal rights or address misuse. Contact us if you would like more information about the services supporting our website and their handling of your information.

5. Cookies and analytics

The website may use cookies or similar technologies to support functionality, authentication and usage measurement. Usage events help us understand how visitors navigate our content and use our enquiry process.

You can manage cookies through your browser settings. Blocking some technologies may affect website or account-access functionality. Browser settings do not necessarily prevent all usage-event measurement. Contact us with questions about website analytics and available choices.

6. Retention

Website enquiry records become eligible for automatic deletion 24 calendar months after the last meaningful contact recorded by our team, or after submission if no later contact has been recorded. Eligible records are deleted during a monthly automated review, so deletion may occur up to a month after the 24-month period.

Enquiries marked as client records or subject to a legal hold are excluded from this automated process. Relevant client information follows the retention requirements of the client relationship, and legal holds remain in place until released. Other information, including account information and analytics, is not covered by this enquiry deletion schedule.

This process removes enquiry records from the website's enquiry database. It does not automatically delete copies in email, backups or external systems, which require separate handling.

You may contact us to request deletion of your information. Requests are assessed in light of applicable privacy rights, legal obligations and any information we are required to retain.

7. Security

We apply privacy-by-design principles, including data minimization and appropriate technical and organizational safeguards. No website or security measure can guarantee complete protection.

8. Your privacy requests

Depending on your location and applicable law, you may have rights to request access, correction, deletion or a copy of your information, or to object to or restrict certain uses.

Use the privacy contact below to make a request or ask about your rights and available complaint or appeal routes. We may need to verify your identity before responding. Please do not include sensitive documents or credentials in your initial message.

9. International processing

Processing locations depend on the service providers supporting the website and our communications. If information is processed outside your jurisdiction, applicable privacy laws and protections may differ. Contact us for information about processing locations and the arrangements relevant to your information.

10. Changes to this notice

We may update this notice when our practices or legal obligations change. The approved version will display its effective date.
